Map demand across the programme
Provide the anticipated attendance pattern, public hours and periods when many people may seek facilities at once. Include performers, vendors and staff rather than relying only on the ticket or visitor total.
Explain whether people gather in one area or move between separate activities. Equipment quantities and positions should be discussed with that movement in mind.
Leave room around the facilities
Consider queues, washing, access needs and the route people take back to the event. The equipment footprint alone is not the entire area needed for a functioning restroom bank.
Check that the proposed positions fall within the operator’s authorised event space. Delivery and servicing requirements should be coordinated with barriers, concessions and other temporary installations.
Plan attention during and after the event
Agree who monitors the facilities and contacts the provider if supplies or conditions need attention. Explain the feasible service windows before the programme is fixed.
Include setup and cleanup teams in the timing discussion. Keep the collection route open after the public leaves, and identify the organiser authorised to approve a date change or extra requirement.
