Match the experience to the occasion
Explain the type of gathering and the expected pattern of guest use. Ask about the proposed trailer’s rooms, entry arrangement and amenities, including any features that matter to your attendees.
Do not assume a trailer is accessible to every user or includes every comfort feature. Discuss alternatives or complementary units when the offered entry or interior does not meet the group’s needs.
Check the site before choosing the model
Provide the receiving approach and intended position for review. The equipment footprint, entry space and vehicle manoeuvring requirements can be different from those of individual cabins.
Ask which utilities or other support the model requires and who supplies them. A nearby connection or venue amenity is not necessarily authorised for the trailer; obtain the property operator’s agreement before relying on it.
Plan the operating period and handover
Identify the person responsible for the equipment during the event and how concerns will be reported. Clarify consumables, servicing, support responsibilities and the collection window in the proposal.
Keep supplier arrival separate from guest arrival. If other vendors share the receiving space, coordinate their timing so the trailer can be installed and later removed under the agreed conditions.
