Describe the repeating pattern
Tell us the session days, use hours and expected attendance at the busiest point. Explain whether the same equipment stays on the property or the arrangement concerns a single period of activity.
Identify permanent facilities the group may use and whether that access changes between sessions. The available indoor arrangement may not follow the same timetable as the outdoor programme.
Use the gaps deliberately
Discuss when agreed service visits can occur and who can provide access. A quiet interval is only useful if the receiving route and responsible contact remain available.
Clarify supply checks and washing arrangements. Avoid assuming an unused-looking unit needs no attention before the next group returns.
Review the schedule as it develops
Report added sessions, changed attendance or revised property access. Ask how those changes affect the equipment and care proposal rather than treating the original brief as permanently sufficient.
The Pembroke Pines address and full period need individual review. This is guidance for recurring activities, not a claim that a particular local programme uses our equipment or that a route is pre-approved.
