Describe the rhythm of use
Tell us the expected operating days, shifts and busiest periods. Explain whether demand stays steady or changes as more people join the project. A long calendar period can contain very different levels of use.
Identify which permanent facilities remain available and whether their access may change. The temporary setup should be reviewed when the people or activities it supports change.
Keep the equipment reachable
Agree the servicing approach and a contact who can resolve access problems. Gates, deliveries and stored materials should be considered throughout the stay, not only in the original delivery instructions.
Clarify supplies and any checks expected between visits. If demand increases or equipment condition needs attention, report it so the arrangement can be reviewed rather than waiting for the next scheduled conversation.
Review extensions and close the rental
Discuss revised dates before the agreed period ends. Ask how a change affects the equipment, service plan and quote instead of assuming the original arrangement continues unchanged.
When facilities are no longer needed, request collection and retain access until removal. Record who is authorised to change or finish the hire so several project contacts do not give conflicting instructions.
